When you want to copy data from one place to another, we often use the Windows Clipboard or the Office Clipboard. The Windows clipboard is unseen but can be utilized by any Windows program to copy and paste. The Office Clipboard can be displayed and used to copy and paste as many as 24 items between certain Microsoft Office programs. A third option, called Drag and Drop, is also available in some programs and doesn’t use either clipboard. This option is quicker to use when the item(s) to copy is in the same vicinity as the destination location.

Use this tip to quickly copy and paste data from one place to another in Word, Excel, PowerPoint, and Outlook.

Copy and Paste Using Drag and Drop

Choose from the following:

In Word, PowerPoint, and Outlook

In Excel

  1. Select the data to copy.
  2. Point to the selection and see the mouse pointer change to an arrow
  3. Press the [Ctrl] key while dragging the selection to the desired location.
  4. Release the mouse before releasing the [Ctrl] key.
  1. Select the cell(s) to copy.
  2. Point to the border of the selection and see the mouse pointer change to a four-headed arrow.
  3. Press the [Ctrl] key and see the mouse pointer change to an arrow with a tiny plus sign next to it.
  4. Drag the selection to the desired location and release the mouse before releasing the [Ctrl]  key.
  • To move data instead of copying, drag the selection without pressing the [Ctrl] key.
